Transportation
This version must be used in order to automatically calculate special transportation for eligible students and services. Retroactive special transportation claims must be entered manually. Please see the note below on how to enter more than a quantity of one for any service on a given day.
Installation
You should receive training from your Regional Information Center before installing this new version. If you have not already received training, please contact your Regional Information Center Medicaid Coordinator.
Instructions for saving your district's information stored in the old version of MDS (saving your tables), uninstalling the old MDS and installing the upgrade will be covered in the training and are included in the new MDS handbook available (in Adobe format) by clicking on the first button on the left.
If you meet the conditions listed below, you may click on the computer to access the MDS installation file which is in a zipped format.
- You have a software package that enables you to unzip files on your PC.
- You have an internet connection that is high speed.
Make sure you carefully review the instructions in the handbook before installing the MDS.
Reminder: Before uninstalling the old version of MDS, you must save your tables by following the attached instructions:
- Open MDS 3.0 (the old version)
- Click on UTILITIES in the Main Menu
- Click on Save tables
- Downloading MDS installation program in .zip format
If you have a shortcut (icon) on your desktop that links to the old version, it will not link to the new version. You must delete this shortcut (highlight the shortcut, right click on the mouse and click on delete). To install a new shortcut after installing the new MDS, you must:
- Right click on the Windows start menu
- Left click on OPEN
- double click on the Programs folder
- double click on the MDS folder
- Click and hold on the MDS data system ICON and then drag it to your desktop
Claiming for more than one service on a given day
When you need to claim for more than one service on a given day follow the correct sequence:
- Select the student
- Select the service
- Select the month and year
- Input the quantity
- Click on the calendar
- If you click on the calendar before you input the quantity, the quantity will default
- to 1.
SSI is handled differently on Version 4.06e.
- If the eligibility files indicates that a student is SSI, and the Update ME screen does not have a "Y" entered in the SSI field indicating that the Consent for Release of Information has been signed by the parents, the SSI override flag will not be present on any claims processed for the student.
- If the user verifies that a Consent for Release of Information has been signed, he/she needs to:
- Indicate "Y" in the SSI field which is part of the Update ME screen in the Demographics
- Call up any claims that are outstanding (not sent to a diskette)
- Double click on the calendar for each day claims to reenter the claim.
- Any claim submitted without a SSI override will reject in Central New York.
- If the claim is sent to Central New York and is rejected, the claim will have to be resubmitted when the consent for release for information is received and the SSI field is set to "Y".
