Directions for submitting reports electronically to SED
In an effort to streamline processing and reduce paper waste, SED encourages electronic submission of all reports, forms, correspondence, etc. to: FSandA133@mail.nysed.gov. In general, the submission should be in a PDF or other image file format. Preferably the data in the image file can be copied and pasted to other software packages.Format for submission of A-133 audit reports (Single Audit):
The electronic submission should be in a PDF or other image file format that includes an image of the original signatures and letterhead of the independent audit firm for:
- The signed opinion on the financial statements, and
- The “Report on Internal Control Over Financial Reporting and on Compliance and Other Matters Based on an Audit of Financial Statements Performed in Accordance with Government Auditing Standards”.
- The signed opinion on the Schedule of Expenditures of Federal Awards, and
- The “Report on Compliance With Requirements Applicable to Each Major Program and on Internal Control Over Compliance in Accordance With OMB Circular A-133”.
Alternatively, if the electronic copy does not include an image of the original signature(s) and letterhead of the independent audit firm, the electronic copy may still be submitted and a fax copy of the opinion letter with the original signature(s) and letterhead of the independent audit firm may be submitted as long as it is consistent with the financial statements submitted (e.g., page numbers agree and it is clear that the opinion belongs with the financial statements).
The email or the name of the file should clearly identify the entity’s name and the documents included within the image file. If an electronic version is submitted, the entity should coordinate with its independent auditor to ensure that a hard copy is not submitted in addition to the electronic submission.
